- Limit administrative rights on your computer and network to prevent the inadvertent downloading and installation of malware or viruses
- Educate employees not to respond to or click links within suspicious e-mails
- Protect documents that contain account numbers or personal employee information
- Conduct thorough background checks on applicants during the hiring process

Segregate duties to ensure that no single employee:
- Is responsible for both recording and processing a transaction
- Keeps the books and reconciles statements
- Opens the mail, prepares deposit slips and handles bookkeeping
- Limit to the number of people who can authorize purchases, and the dollar amount they can authorize
- Run random audits or have a third party audit your books once a year
- Make sure all checks, purchase orders and invoices are numbered consecutively, and regularly check for missing documents
- Personally follow up on customer complaints that they have not received credit for payments
- Use a "for-deposit-only" stamp on all incoming checks to prevent an employee from cashing them
- Sign all payroll checks personally, require all checks above a nominal amount to have two signatures, and never sign a blank check or use a signature stamp
- Small business owners should review accounts payable for cash disbursements and payments to "phantom" vendors
- Keep sensitive information out of view
